The duty station for the “Project Assistant” is GIZ Baghdad Office.
The Project Assistant supports the implementation of activities of the cluster. S/he carries out tasks in support of cluster development and implementation and provides administrative support to project management processes.
The Project Assistant organizes cluster events and meetings being responsible for the management and implementation of the logistical arrangements and follow up. S/he compiles and prepares inputs to meetings, cluster reports, presentations and communication materials and processes activities. S/he is responsible for maintaining the cluster’s filing system.
The Cluster Assistant works under the supervision of the Head of Cluster and collaboratively with all members of Cluster Team either in the Headquarters, or other project Offices.
Supporting the cluster management administratively.
Efficient and proactive support to the activities being implemented by the cluster;
Preparation and drafting of documents as needed;
Cluster filing system is maintained;
Assist in implementation of cluster activities in accordance with the work plan;
Prepare administrative documents, collect and compile inputs to documents;
Draft routine correspondence for cluster implementation;
Assist in procurement processes for conference/seminar services or other procurement actions foreseen in cluster;
Collect, compile and organize background materials, documents and other materials for meetings;
Prepare inputs to reports, summaries, graphs and inputs to presentations in support to various cluster activities;
Provide support to the organization of workshops and meetings being responsible for visa arrangements, flight bookings, meeting facilities and accommodation, social program, catering, participant lists, travel claims;
Is responsible for meeting logistics; meeting rooms, audio-visual equipment, name tags, logistics for arrivals and departures, travel claims;
Maintain the cluster filing system;
Compile and prepare inputs to PI/PR materials as required;
Support implementation of cluster-related communication activities;
Perform any other duties as required such as translating documents, recording meetings minutes, etc.
Required qualifications, competencies, and experience
A minimum of 2 years of experience in project administration and implementation in an international organization context;
Bachelors degree in business administration or a similar field.
Good organizational skills with attention to detail and accuracy;
Experience in managing conflict priorities and working with tight deadlines;
Strong team work and interpersonal skills;
Adaptability and flexibility;
Excellent skills of using MS-office softwares.
Above average academic Arabic and fluent English language proficiencies are mandatory (written and spoken).
German language skills are an advantage
Ability to travel in Iraq and abroad for limited periods of time.
