We are looking for an organized and self-motivated Project Administrator to perform clerical duties on projects and support the daily operations of the construction projects. You will be responsible for scheduling meetings, managing office inventory, and tracking expenses. 
To be successful, you must be able to multitask, oversee and ensure smooth and efficient daily operations. A good candidate has excellent attention to detail, should be highly organized and thrive under pressure, be professional, and have excellent written and verbal communication skills. 
  • Overseeing day-to-day operations. 
  • Developing organizational policies. 
  • Managing administrative budgets. 
  • Hiring and training administrative staff. 
  • Negotiating contracts and agreements with vendors. 
  • Maintaining corporate relationships. 
  • Monitoring operating expenses. 
  • Liaising with HR and other departments. 
  • Updating executives on business performance. 
  • Schedule meetings and take minutes. 
  • Track project expenses. 
  • Prepare requested documents for team members. 
  • Conduct research for team members. 
  • Create progress reports. 
  • Welcoming visitors and directing them to the relevant office/personnel. 
  • Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents,  including office correspondence, memos, resumes, and presentations. 
  • Managing and updating company databases. 
  • Keeping track of inventory and ordering supplies. 
  • Maintaining financial, employee, and client records. 
  • Drafting and mailing customer correspondence.  
  • Organizing events, scheduling meetings, and making travel arrangements. 
  • Managing the maintenance of office and facility equipment. 
  • Providing administrative support to other departments or projects as needed. 
  • Performing other duties as assigned. 
  • Coordinating and managing appointments, meetings, and the conference room schedule to prevent duplicate  bookings. 
  • Performing bookkeeping tasks such as invoicing, monitoring accounts receivable, and budget tracking. − Maintaining general office files, including job files, vendor files, and other files related to the company’s  operations. 
  • Purchasing office supplies, equipment, and furniture. 
  • Overseeing the maintenance of office facilities, and equipment. 
  • Performing other relevant duties when needed. 
  • Travel is necessary to visit sites and staying on the project for a designated duration.  − Working hours are typically standard office hours, but strict deadlines mean longer hours, weekends and being  on-call are all possible and expected.
Skills and Requirements  
  • A degree in business management, business administration or a related field. − 5 years’ experience in large construction projects.  
  • Prior experience as a project administrator or a related administrative role. − Excellent attention to detail. 
  • Excellent interpersonal skills. 
  • Proficiency with Microsoft Office. 
  • Excellent communication skills, both written and verbal. 
  • Strong organizational and administrative skills. 
  • Proficiency in Microsoft Office and data management software. 
  • Detail-oriented with strong analytical and problem-solving skills. 
  • Ability to work under stress.  
  • Comfortable handling confidential information. 
  • Multi-tasking and time-management skills, with the ability to prioritize tasks. − Reliable and self-motivated. 
  • Superior problem-solving skills. 
  • Strong leadership qualities. 
  • Broad knowledge of business departments and their functions. − Strategic thinker. 
  • Budget management experience.
