Responsibilities
The procurement and event management assistant provides support in:-

dealing with all questions arising in this area
-
identifying relevant problems and issues and assisting in formulating implementation-oriented solutions
-
further developing instruments and assisting in introducing innovation and change
-
managing knowledge by disseminating and documenting know-how, experience and information
Tasks
Purchasing, procurement
-
in accordance with GIZ regulations and under the supervision of the program Head of Finance and administration, assists with local procurement of goods and services
-
assists to maintain relevant procurement files
-
checks invoices for goods, vouchers, payment instructions and complaints
-
ensures safe transportation of goods to destination ▪ assists to request for air tickets and makes hotel bookings ▪ documents and files completed order transactions in reference files or in DMS.
Event Management
-
Organises, coordinates, services meetings, workshops and events.
-
Ensures smooth preparation of the meetings, workshops and events, by liaising and working with vendors and the project components.
-
Ensures submission of related payment requests to the finance department.
General tasks
-
Scanning and making copies of documents

performs other duties and tasks at the request of management
Required qualifications, competences and experience
Qualifications
-
BA/MSc in business management with a focus in finance, controlling, purchasing or contract management or similar area.
Professional experience
-
At least 2 years experience in the related fields
Other knowledge, additional competences
-
outstanding working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
-
very good knowledge of the European language widely used in the country, ideally a knowledge of Arabic, Kurdish (Sorani) and German languages ▪ willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management

ability to work under pressure, multi task and prioritize effectively
