Chemonics International seeks applications from qualified candidates for the position of Operations Assistant for the Iraq Regional Program (IRP) based in Mosul, Iraq. IRP is a USAID project that aims to promote an inclusive and stable Iraq; assist persecuted, conflict-affected populations; and support stabilization and recovery efforts. The Operations Assistant will provide administrative, financial, logistical and operational support to the Iraq Regional Program. S/he is a key member of the operations team and will work closely with all members of that team to ensure that the IRP office runs smoothly. 
Responsibilities include:
  • Office Administration. Become the first point of contact to visiting guests and clients and ensure office orderliness and professional appearance. Procure and track utilization of supplies office equipment, and project property. Manage files and correspondence in accordance with filing system. 
  • Event coordination and logistics. Arrange meetings and in collaboration with the Operations Manager, maintain and track the budget for in country events. Assist with travel, hotel accommodations, and in country transportation for all project-related travel, including international consultants. 
  • Vendor Relations and Procurement. Assist the Operations Manager with the management of vendor relationships and maintain relationships with office building management and maintenance. In collaboration with the Operations Manager, assist with procurement procedures.
  • Financial Management Assistance. Assist the Accountant and/or Finance Manager with occasional auditing of expenses such as phone invoices and travel vouchers. Assist the Operations Manager to ensure that all timesheets are filled out correctly and that employee leave requests are filed. Assist the Finance Manager with file management.
  • Human Resources. Staff on boarding and departure logistics, including registration of staff with relevant tax authorities, policy manual development, and completion of any staff departure checklists. Assist with any recruitment needs as requested.
  • A high school diploma degree required, Bachelor’s degree preferred.
  • Minimum of two years of experience in administration or project management.
  • Ability to work in a professional and cordial manner with fellow staff members, visitors, and partner institutions including international and local NGOs, governmental entities, support organizations, and the general public.
  • Experience working closely with multidisciplinary teams of junior and senior-level staff.
  • Strong interpersonal skills and ability to work with culturally diverse staff.
  • Fluency in written and oral Arabic and English is required; Written and oral fluency in Kurdish, and other local languages is a plus, but not required.
