The Iraq Community Resilience Initiative – Ta’afi (ICRI-Ta’afi) is a United States Agency for International Development Office of Transition Initiatives (USAID/OTI) program implemented by Chemonics International in Iraq. ICRI-Ta’afi aims to increase stability in Iraq by supporting accelerated recovery in conflict-affected areas, improvement of the public’s perception of local leadership and strengthened the social fabric of Iraqi communities. 
Reporting
Operations Assistant will report to the Operations Officer. 
 
Work Location
The position is based in Baghdad-Iraq.

Responsibilities: 
  • Performs office reception duties and ensures all aspects of the office are running smoothly.
  • Tracks utilization of all office supplies and procures supplies as necessary and maintains inventory of all project property up to date
  • Arranges and coordinates stakeholder meetings; arranges meeting space and logistics by working with local vendors, hotel staff, and others as necessary
  • In collaboration with the operations manager, maintains and tracks the budget for in country events; assists with travel, hotel accommodations, and in country transportation for all project- related travel, including international consultants
  • Manages the distribution of temporary project cellphones for short-term travelers
  • Assists the operations manager with the management of vendor relationships and maintains relationships with office building management and maintenance
  • In collaboration with the operations manager, assists with procurement procedures by collecting quotations from vendors and ensuring deliverables are received in a timely fashion and are up to the standards and specifications agreed upon in the contract
  • Undertakes petty cash duties, if required by operations manager; assists the finance team with occasional auditing of expenses such as phone invoices and travel vouchers
  • Assists with staff timesheets submission and ensure that they are filled out correctly and that employee leave requests are filed
  • Responsible for coordination of staff onboarding and departure logistics, including registration of staff, policy manual development, and completion of any staff departure checklists; implements project employee orientations
  • Assists with any recruitment needs as requested
  • Other duties as assigned
 
Qualifications:
  • Diploma required, bachelor’s degree preferred.
  • Minimum of two years of experience in administration or project management
  • Ability to work in a professional and cordial manner with fellow staff members, visitors, and partner institutions including international and local NGOs, governmental entities, support organizations, and the general public
  • Experience working closely with multidisciplinary teams of junior and senior-level staff
  • Strong interpersonal skills and ability to work with culturally diverse staff
  • Fluency in written and oral Arabic and English is required; written and oral fluency in Kurdish, and other local languages is a plus, but not required

Additional Information
Contract period: 12 Months with possibility of extension
Salary: The salary of this position falls under band FSN-06
The selected candidates will be vetted.
