Chemonics International seeks applications from qualified candidates for the position of Office Administrative Assistant for the USAID Iraq Durable Communities and Economic Opportunities (DCEO) Project. This position will be based in Baghdad, Iraq. The Office Administrative Assistant will provide overall administrative and logistical support to the operations team and project staff.
Responsibilities include:
  • Assist in coordinating meetings and training events, including selection of venue, negotiations with vendor and reimbursement of training participants in accordance with Chemonics and USAID policies
  • Work with the Operations Manager and Human Resources Assistant to ensure that all timesheets are filled out correctly (tracking hours worked, vacation and sick time, etc.). 
  • Work with the Human Resources Assistant to update the staff leave planner and leave tracker, and file annual leave requests forms accordingly. 
  • Maintain and brand all inventory and conduct periodical checks 
  • Assist in arranging hotel accommodation for STTAs and other project staff as needed 
  • Responsible for maintaining the project’s electronic and hard copy filing system, including electronic archiving of project files. 
  • Responsible for maintaining stock of office stationery and order when needed. 
  • Provide general administrative and logistics support to project staff.
  • Other duties as assigned
 
Qualifications:
  • A diploma degree required; bachelor’s degree preferred. 
  • Minimum of one year of experience in administration or project management 
  • Ability to work in a professional and cordial manner with fellow staff members, visitors, and partner institutions including international and local NGOs, governmental entities, support organizations, and the general public 
  • Experience working closely with multidisciplinary teams of junior and senior-level staff 
  • Strong interpersonal skills and ability to work with culturally diverse staff 
  • Fluency in written and oral Arabic and English is required
