Duties and Responsibilities;

Carry out daily purchasing activities.

Prepare tender documents, distribute the tenders and arrange for the bid opening process and

contact the bidders as necessary.

Co-ordinate with the bid opening, bid analysis and company selection committees and monitor their
-
work. Provide advice and administration support as necessary.
-
Prepare contracts as necessary and ensure duly signature and stamp of both parties, make
-
necessary extensions, termination as required.
-
Following up the status of singed contracts.
-
Advises staff and/or faculty as to appropriate choices of standard items to be purchased for offices.
-
Selects vendors, places orders, and may arrange for service contract.
-
Follows up on orders to ensure that materials are shipped and delivered on promised dates.
-
Maintains records and follow up files of purchases, shipments, and related matters
-
Maintains files of descriptions of available supplies.
-
May inspect products received for quality and quantity to ensure adherence to specifications.
-
Any other duties related to procurement procedure.

Assists with preparing formal bid documents for items and services.
-
Informs other staff and vendors regarding procedural requirements (e.g. ordering and purchasing
-
procedures, available funds, etc.) for the purpose of facilitating the purchasing process with
-
established practices.

Maintains purchasing documents, files and records (e.g. Requests for Proposal, vendor files, etc.) for
-
the purpose of ensuring the availability of documentation and compliance with established policies
-
and regulatory guidelines.

Performs general and program specific clerical functions (e.g. answering the telephones, distributing
-
purchase orders, scheduling, copying, etc.) for the purpose of supporting departmental activities.
Desirable Qualifications and Skills

BSC degree in Administration or Supply Chain,
-
Minimum three years’ experience in procurement and logistic positions or relevant field;
-
Fluency in Kurdish, Arabic and English languages;
-
Excellent verbal & oral communication skills
-
Good level of computer skills required (Outlook, Word, Excel, PowerPoint)

Excellent communication and organizational skills.

Ability to meet deadlines and work under pressure.
