Duties and Responsibilities
The Liaison Assistant

Provide assistance to Liaison Management as required on Day to day liaison with Government counterparts of the project at national and support to local level and Liaison team

Supports / acts as a focal point to the Deputy Country Director and the Liaison Officers in keeping a smooth professional communication with Government, Ministries and departments, Visa and Residency offices as well as others as necessary

Assisting the Country Management and Liaison Officers follow up requests with relevant government offices and government and relevant letters and responses.

Is responsible for protocol tasks, especially regarding the planning of business trips of German visitors, test missions, etc.

Coordinating and liaising with the visa and residency office in the absence of the Liaison Officers in close collaboration with the Deputy Country Director

Acts as a focal point of requests by Headquarters in regards to Visa and official visits

Provide support in organizing meetings and consultation workshops under the project with the government’s counterpart should requested
-
Maintain a detailed and up to date Data Base and other records/information as reference point for administrative and liaison purpose.

Organizing and attends key meeting and takes minutes, as requested by the Deputy Country Director and on behalf of the office manager.

Establish effective communication and coordination and sharing information

Keep all documentation and files updated, properly filed and easily accessible for the internal users, scan and upload on share drive.

Represents the Office Manager Erbil during his or her absence.

In-depth knowledge of the local society, its political trends, public attitudes and procedures, and local working conditions and protocols; Thorough understanding of the objects and organizational structure; Strong communications research and analytical skills, and ability to rapidly analyze and integrate diverse information from varied sources.

Required qualifications, competences and experience Qualifications
-
University degree in politics, economics or sociology, English language or similar area
-
At least 1 year of experience in the field of Project assistance
-
Excellent command of German and English language in speaking and writing is mandatory
Other knowledge, additional competences
-
good working knowledge of ICT technologies (related software, phone, email, the internet) and computer applications (e.g. MS Office)
-
good knowledge of national labour and social law and visa requirements for expats
-
impressive track record in a service provider and governance role
-
excellent command of Kurdish (Sorani) and Arabic
-
willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management

A team player, able to work with other members of the Embassy and external partners;

A clear understanding of the need for confidentiality in this area of work as well the consequences of personal and professional lapses in security;

Ability to work under pressure, carry a diverse workload, prioritise effectively and demonstrate a positive attitude;
