Responsibilities

The junior administrative professional is responsible for
-
Providing administrative services for the program.
-
Procurement for the program, ensuring all procurement is carried out according to PuR.
-
Assisting to check, support, coach and follow up the financial implementation of local subsidies with the partner institutions.
The Junior administrative professional performs the following tasks:
Tasks
Coordination
-
Ensures that information is exchanged between project/program staff, partners and other institutions.

Accompanies project/program manager or other team members to meetings if necessary.

Prepares and organises internal team meetings.
Administration
-
supports to organise administrative and logistical aspects of project activities (meetings, workshops etc.)
-
supports and organises transportation and logistics needs of project staff including consultants
-
coordinates with the GIZ office on the mode of service delivery
-
prepares mission orders for support staff and assists to coordinate vehicle movement in the program
-
carries out procurement in accordance with guidelines
-
responsible for filing documents in reference files or in DMS in line with GIZ’s filing rules
Finance and accounting
-
assists to monitor expenses in Bagdad program office
-
calculates local travel claims for program national staff.
-
collects and checks the financial documents of workshops and meetings
-
Assists checking local subsidy vouchers.
Asset and Inventory Management
-
inventory checks in line with O and R procedures.
-
Issue of assets in coordination with the finance department
Required qualifications, competences and experience
Qualifications
-
University degree in relevant specialisation and qualification in business administration desirable (equivalent of BA or MBA)
Professional experience
At least 1 - 3 years’ professional experience in a comparable position
Other knowledge, additional competences
-
good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
-
very good knowledge of the European language widely used in the country, ideally a knowledge of German
-
in-depth understanding of financial planning and accounting
-
broad experience of management and administration
-
willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management
