Responsibilities
The Junior professional is responsible for:
-
providing administrative services for the programme;
-
managing the monitoring and reporting of the project;
-
facilitating the contracts as well as procurement processes of the project;
-
ensuring that financial and administrative regulations are complied with.
Tasks
Administration
The Junior professional:
-
is responsible for the asset management of the project;
-
monitors the projects’ contracts and follows up on necessary tasks such as payments and extensions;
-
monitors the procurement processes of the project and ensures a smooth process;
-
translates communication;
-
is responsible for organising administrative and logistical aspects of project activities (meetings, workshops etc.);
-
manages the travels and logistics of the team;
-
is responsible for filing documents in reference files in the office and in GIZ Intranet.
Monitoring, Evaluation and Reporting
The Junior professional:
-
is responsible for keeping the monitoring system of project activities up to date;
-
prepares thematic or geographic overviews of project activities as needed;
-
supports the preparation of project reports;
-
continues to elaborate the monitoring and evaluation system of the project;
-
prepares background reports to relevant topics;
-
attends relevant meetings for knowledge gathering and management;
-
supports exchange between GIZ projects and other actors.
Other duties/additional tasks
The Junior administrative and reporting professional:
-
ensures that information is exchanged between project staff, partners and other institutions;
-
performs other duties and tasks at the request of management.
Required qualifications, competences and experience
Qualifications
-
University degree in business administration, social science, political science, project management, international studies or comparable studies
Junior Professional experience
-
at least 3 years’ professional experience in relevant fields
-
Work for an international company or development organization is an advantage
-
Experience in administrative processes
-
good understanding of monitoring, reporting and evaluation
-
understanding of financial accounting and contract management
-
understanding of Iraqi government structures and international agencies active in Iraq are an asset
Other knowledge, additional competences
-
very good working knowledge of ITC technologies and computer applications (e.g. MS Office)
-
Fluent Arabic and English in speaking, reading and writing
-
Team player, proactive and responsible personality, solution oriented, innovative and flexible
-
willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management
-
Committed to contribute to the improvement of the living conditions of Iraqis
