Responsibilities:
The Administrative Assistant is responsible for:
Assisting in the administrative tasks for PSD project in Baghdad. This includes the coordination of logistical support to the project’s activities, procurement activities, security arrangements, Assistance in the processing of contracts, communication with GIZ administration offices in Iraq and abroad.
 
Tasks 
  • Responsible for all procurement processes for the projects need starting from
  • preparing requests for (items &services) and follow-up and perform the purchasing process as per the procurements regulations.
  • Responsible for filing and archiving project documents in DMS and creating necessary photocopies as needed.
  • Logistical support in project events, workshops and meetings. This includes obtaining offers from venue and service suppliers and arranging catering as necessary.
  • Arrangement of transportation for project team members in coordination with RMO and preparation of receiving guests by arranging access to the compound, arrangements of accommodation as necessary.
  • participates in internal and external (team) meetings and workshops and assists with documentation of these activities by taking meeting minutes.
  • Facilitates, support and coordinates tasks of project staff and implementing partners.
  • Regularly updates project events calendar and organizes the meetings and calendar of the project Director.
  • Support the project director and the administrative officer in any other administrative tasks as needed.
 
Required qualifications, competences and experience
  • University degree in the field of Business Administration or any relevant field.
  • Preferably 1 year of experience in the Administrative field.
  • Good working knowledge of IT technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
  • Good knowledge in English
  • Good coordination, time management and organizational skills
  • Discipline and punctuality
