GENERAL MISSION

 

The Database Assistant will lead in ensuring the quality and protection of HI’s data by developing and maintaining a functional and sustainable database system for all programs in the base. The Database Assistant will act as focal person for all work related to database management and ensure compliance with HI’s data management guidelines with the support of HI’s core MEAL unit at coordination.

 

RESPONSABILITIES

 

Data System Development and Management

  • Identify areas for action relevant to data management, propose solutions and work closely with the MEAL officer, and relevant operations and technical teams to undertake required actions
  • Track and fix system errors in the database
  • Ensure that databases in the field respond to data and information needs for analysis and reporting
  • Ensure protection of personal and sensitive data by implementing privacy and security measures e.g. define and set up access restrictions to the database, set-up encryption procedures
  • Maintain linkage of databases at coordination and field level
  • Ensure back-ups and data purging are done regularly
  • Enter all data collected on paper to the database
  • Perform cross-checks to ensure quality and accuracy of data throughout the encoding process
  • Ensure paper and electronic files follow the prescribed filing system in the base

 

Data Analysis and Reporting

  • Contribute to the production of regular information materials such as, HI factsheets and infographics as may be required by the operations and technical teams, by generating data from project databases
  • Contribute to donor and organizational reporting i.e. PM Box by generating data from databases and other data repositories in the field, and performing data quality checks
  • Consolidate and produce data for analysis, reporting and sharing, upon the request of project and technical teams in the field

 

Special Tasks and Liaison

  • Deliver training on tablet use and data collection programs for project teams, data collectors and relevant staff upon request and where necessary
  • Perform miscellaneous tasks upon the request of the line manager

 

 

Note that this job description must remain flexible, to respond to additional tasks or changes as identified by the line manager.

 

 

HIERARCHICAL RELATIONSHIP

 

Base: Bagdad, with some movement to the field

 

Line management: MEAL Officer

 

Collaboration with: MEAL Coordination unit based in the coordination office, Project Team and MEAL Officer and Assistant

 

 

REQUIRED PROFILE

 

Education and Experience

  • University degree with at least six (6) months of relevant experience
  • A minimum of six (6) months of experience in implementing database systems preferably for non-government, humanitarian organizations
  • Familiarity in at least one of HI’s sectors: Rehabilitation, MHPSS, Mine Action, Risk Education, and in cross-cutting sectors of Inclusion and Protection

 

Skills

  • Basic programming skills on C++, Visual Basic or FileMaker (for database system support)
  • Proven experience in designing and operating online data collection platforms i.e. ODK, Kobo Collect, SurveyCTO
  • Excellent skills in spoken and written Arabic; good level of spoken and written English
  • Strong analytical skills and ability to handle complex issues

  • Well-organized and able to plan work accordingly
  • Demonstrated ability to establish harmonious and effective working relationships, both within and outside the organization

 

TIME SCHEDULE

 

The working hours are the following:

 

Sunday until Thursday, from 8.00 AM to 4.30 PM with 30 minutes lunch break.  The work duration is fixed but the working hours can vary according to the planning of activities.

 

It can be exceptionally requested to work on Friday or Saturday. In that case a day off is planned between Sunday and Thursday during the previous or following week.

 

Note that working time can go up to 48 hours per week if it is required by the volume of activities and by the line manager. In that case the overtime will be considered as recovery time to be planned by the line manager in the next days.
