We are looking for a perceptive, creative, hard-working and dedicated Chief Administrative Officer (CAO) to be responsible for overseeing the administrative operations and administrative staff members, to devise strategies and policies to meet the organization's objectives and goals, and reports on the performance of the various departments under the CAO's supervision directly to the CEO and board of directors. You will hire, train, and evaluate administrative team members, develop, review, and improve policies, systems, and procedures, and generally ensuring the office operate smoothly and efficiently. You will also assist in developing and enforcing budgets, delegating tasks and tracking progress on projects, and planning and organizing a calendar of events, which may include training sessions, interviews, new hire orientations, and policy or procedure updates.
To be successful, you should be driven to succeed, able to handle stress, and have excellent communication and interpersonal skills. You should be familiar with the workings of different departments, and knowledgeable about our company’s and the government’s laws and regulations. You must be focused on ensuring attracting and retaining top talent and streamlining office operations to maximize quality and efficiency while reducing costs. You should be analytical, knowledgeable, and organized with a proactive attitude and strong leadership skills. A top candidate should be able to demonstrate exceptional organizational and time management skills to complete all duties in a timely manner.
Responsibilities
  • Working in a team with top-level executives to devise strategies and policies to meet company goals.
  • Managing and supervising the day-to-day operations of various departments, such as finance, operations, HR, and marketing.
  • Managing budgets, hiring, and contracting, and business negotiations.
  • Analyzing audit reports and formulating improvements to departmental workings.
  • Coordinating inter-departmental activities and delegating responsibilities to subordinates.
  • Compiling performance reports and reporting to the CEO and board of directors.
  • Ensuring all laws and regulations are met.
  • Supervising day-to-day operations of the administrative department and staff members.
  • Hiring, training, and evaluating employees, taking corrective action when necessary.
  • Developing, reviewing, and improving administrative systems, policies, and procedures.
  • Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained.
  • Working with accounting and management team to set budgets, monitor spending, and processing payroll and other expenses.
  • Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.
  • Collecting, organizing, and storing information using computers and filing systems.
  • Overseeing special projects and tracking progress towards company goals.
  • Building new and expanding existing skills by engaging in educational opportunities.
  • Answering telephone calls, responding to queries, and replying to emails.
  • Preparing expense reports and office budgets.
  • Forwarding all correspondence, such as letters and packages, to staff members.
  • Scheduling meetings and booking conference rooms.
  • Hiring maintenance vendors to repair or replace damaged office equipment.
  • Assisting the HR department with job postings and interviews.
  • Travel is necessary to visit sites and staying on the project for a designated duration.  
  • Working hours are typically standard office hours, but strict deadlines mean longer hours, weekends and being on-call are all possible and expected.
 
Skills and Requirements
  • A Bachelor's or Master's degree in Business Administration, management, or related field.
  • Proven 8+ years’ experience working in an office environment.
  • Experience in related field, such as management or financial reporting, preferred.
  • Solid work experience in a managerial position.
  • A working knowledge of government regulations for businesses.
  • Good computer skills.
  • Excellent written and verbal communication skills.
  • Strong leadership and teamworking abilities.
  • Good interpersonal and decision-making skills.
  • The ability to handle the stress of a high-powered position.
  • Exceptional leadership and time, task, and resource management skills.
  • Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills.
  • Proficiency with computers, especially MS Office.
  • Ability to plan for and keep track of multiple projects and deadlines.
  • Familiarity with budget planning and enforcement, human resources, and customer service procedures.
  • Willingness to continue building skills through education opportunities.
  • Proficiency in all Microsoft Office applications.
  • The ability to multitask.

  • Fluent in English.
