Job Summary:
- Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities.
- Reception duties such as greeting and looking after visitors
- Resolves administrative problems by coordinating preparation of reports, analyzing data,and identifying solutions.
- Ensures operation of equipment by completing preventive maintenance requirements;calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
- Provides information by answering questions and requests.
- Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Completes operational requirements by scheduling and assigning administrative projects;expediting work results.
- Type correspondence, reports and other documents
- Maintain office files
- Open and distribute the mail
- Take minutes at meetings
- Coordinate repairs to office equipment
- Maintain confidential records and files
- Research and assist with the preparation of policies and procedures
- Prepare correspondence for Board members
- Schedule Board meetings
- Prepare agendas for Board meeting
- Greet and assist visitors
- Direct calls and respond to inquiries
- Provide general administrative support including mailing, scanning, faxing and copying to management
- Maintain electronic and hard copy filing system
- Assist in resolving any administrative problems
- Maintain office supplies for department
- Perform other duties as assigned by line manager
Qualification / Education Level :
- Diploma or Bachelor degree
