Responsibilities
The Admin Officer is responsible for
financial management, such as cash withdrawals, keeping the cashbook, bank accounts, preparing and entering vouchers seeing that the service in the department is provided correctly and in accordance with GIZ financial management and accounting procedures smooth operation of the secretariat good communication and information flow within the project/programme
 
Tasks
Administration
The Admin Officer 
  • organises and files documents in reference files or in DMS in line with GIZ’s filing rules 
  • coordinates logistical issues for the project staff and visitors
  • maintains the inventory list for the Qudra programme
  • checks travel expense statements of staff for approval by superior
 
Finance
      The Admin Officer 
  • is responsible for financial management, such as cash withdrawals, keeping the cashbook, bank accounts, preparing and entering vouchers 
  • ensuring the capacity development of financial and administrative staff in partner institutions in terms of financial management and procurement provisions of local subsidies through workshops, training on-the-job
  • monitors the financial implementation contracts with the international and national partners 
  • supports monitoring the monthly accounting and financial plans 
  • manages confidential files in the areas of finance
 
Office management and general coordination
      The Admin Officer 
  • replies and looks after correspondence, meetings & events 
  • participates in the meetings and workshops and assists with documenting these, e.g. by taking minutes
  • liaises with Risk Management Office on staff related field trips & missions  
 
Other duties/additional tasks
The Admin Officer 

performs other duties and tasks at the request of management 
 
Required qualifications, competences and experience
Qualifications
  • University degree in business administration desirable (equivalent of BA or MBA)
  • Professional experience
  • at least 3 years’ professional experience in a comparable position
 
Other knowledge, additional competences
  • good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
  • good knowledge of the English, knowledge of German would be an asset
  • good management and organisational skills
  • willingness to upskill
