MSELECT is looking to hire a Logistics Assistant for an International Development Organization in Duhok. Candidate must have at least 6 years’ experience and fluency in English, Kurdish and Arabic.

A. Context

Logistic is essential function in the scope of organizational structure of organization with collected and defined tasks to support the organization’s programs and projects. The logistic officer is reporting to his/her line manager and head of program, ensuring to perform and accomplish the logistical objectives in line with organization orientation and rules, procurement/logistic policies and country specific policy imposed by the country office in the country of assignment. Thus, the responsibilities of logistic officer are defined hereunder:

B. General Responsibilities


  • Ensuring the smooth procurement documentation processes of organization CfW in Duhok.
  • Ensuring the quality of works in line with organization rules and regulation
  • Organizing, preparing and maintaining the documentation. Similar for hard copy E-File files and soft copy files. (DMS)
  • Ensuring to make copies of each PR, SR in cooperation with the finance unit including invoices with voucher numbers and WINPACC numbers
  • Ensuring the smooth warehouse documentation process of CfW in Duhok
  • Ensuring that the warehouse inventory levels are balanced by conducting regular physical counts, reconciling of CfW Duhok
  • Ensuring to maintain the physical conditions of CfW Duhok warehouse
  • Conducting a regular assessment of the situation of the warehouse including warehouse facilities, condition of the equipment, manpower in place and processes
  • Ensuring an accurate and complete stock level count
  • Assess the availability of space and prepare stacking/storage plans in order to utilize the space optimally
  • Assessing the strengths and the weaknesses of the warehouse documentation and propose corrective actions to his/her line manager
  • Ensuring appropriate documentation procedures and systems are in place to ensure efficiency of the warehouse operations
  • Prepare monthly / weekly stock and logistics movement reports
  • Ensuring the smooth fleet management documentations of organization CfW, including writing the voucher numbers, WINPACC numbers in Logbooks
  • Ensuring to provide a full copy of the invoice of goods that are applicable for inventory to the responsible officer for inventory on timely manner
  • Ensuring that winner supplier is screened in the EU manual blacklist check in order to avoid dealing with sanctioned dealers
  • Ensuring the knowledge transfer in the field of procurement and logistics management for organization / CfW staff members in Duhok in order to increase the awareness and capacity of staff members on procurement and purchasing

Procurement Tasks:

  • Ensuring his/her involvement in all sorts of procurements documentations of organization CfW in Dohuk offices
  • Ensuring that PRs are properly prepared and signed before the procurement of goods take place
  • For procurements above EUR 1.000 up to EUR 2.500 the responsible officer assistant ensures that quotations are obtained and opened in the presence of committee It is also mandatory to fulfil all standard formats such as bid evaluation form, technical specification and selection forms before procurement takes place
  • Ensuring that invoices are translated in detail, validation stamp is signed and handed over to the responsible finance officer for payment
  • Assisting the flow of procurement documentations in CfW main office Dohuk

General Tasks:

  • Reporting to the logistics officer
  • Strictly obeying the International Development Organization code of conduct, O+R and country wide policies
  • Ensuring to work closely with staff members of CfW in Duhok in the form of strong and professional team working environment
  • Keeping the unit manager/head of program informed on any problematic and urgent issue that is not in line with International Development Organization rules and policy and asks for advice
  • Contributing to team building measures within the Unit and the whole organization CfW and being a model of professional work execution and behavior
  • Sharing of knowledge and experience within the Unit and the organization CfW

Other Duties/Additional Tasks:

  • Any other unit related task as maybe assigned by the head of unit of the head of International Development Organization CfW

Required Qualifications, Competencies and Experience Qualifications:

  • BBA preferable in management, physical education or similar qualification

Professional Experience:

  • Up to 2 years’ experience in International Development Organization and min 4 years with Non-International Development Organization (governmental or private sector)

Other Knowledge, Additional Competences:

  • Preferable trainings on defensive driving, physical education, finance, warehouse and procurement of goods etc.
