Job Purpose: The purpose of this job is to provide support to the SCM Services Manager to ensure smooth delivery of Company’s facility needs.
Responsibilities and Key Objectives:
Facility Management (Housekeeping & Maintenance): In collaboration with Service Field Coordinator, the FSA oversees, mentors and oversees the housekeeping and maintenance crews to ensure safe, timely and high-quality delivery of services. The FSA and the Service Field Coordinator together coordinate their daily tasks to ensure all the housekeeping and laundry tasks are performed. They will also work together to make sure all the maintenance work at residential units of Company are completed. In case of emergencies at the residential units, the FSA shall coordinator with designated contractors and be available to respond to the emergency ASAP.
Travel & Accommodation: The FSA will provide rooms for rotators and visitors of Company in the residential units/ in the approved hotels. The FSA will also provide office access keys to new arrivals and visitors. The FSA coordinates with Security team to meet the needs of the visitors. The FSA sends guidance to the visitors of Company to ensure their smooth arrival to Erbil.
Requesting Materials: The FSA receives, prepares and issues Requests for Material (RFM). The FSA is responsible to ensure the RFMs are submitted per the written procedures. The FSA coordinates with procurement contractor to ensure the delivery of the required materials and to ensure the contractor is giving us the most competitive price and the expected quality.
Archiving: The FSA administrates the archiving room and archiving database. The FSA receives the archiving request from different departments and processes them per the written procedures
Mails: The FSA receives all the mails delivered to Company’s office in Erbil. The FSA records the received mails in the designated logs and hands the mails to the receivers. Additionally, the FSA also handles the activities related to sending mails from Erbil office to other locations.
Office Maintenance: The FSA coordinates and oversees office maintenance work. The FSA conducts periodic checks to ensure there enough supplies at the office to keep the office operating.
- A relevant Diploma/Bachelor degree is a plus.
- About five years of similar experienced is required.
- High sense and understanding of HES is crucial.
- Ability to respond to emergencies and multiple tasks is critical.
- High sense of customer service.
- Ability to handle multi-cases at the same time.
